Ad Operations Manager

A brief overview

Department: Digital / Client Success We are seeking a detail-oriented and highly organized Ad Operations Manager to oversee the execution of digital advertising campaigns across our portfolio of offerings. This role serves as the internal point of contact for our external vendor partners, ensuring campaigns are launched accurately, executed efficiently, and tracked against performance goals. While this is not a media buying role, the Ad Operations Manager must have a strong understanding of advertising platforms - with Meta Ads expertise as a core requirement and working knowledge of others (X, SEO, programmatic, email) considered an asset - in order to effectively communicate with vendors, troubleshoot issues, and maintain operational excellence.

Responsibilities

Campaign Execution & Oversight

  • Own the day-to-day executional flow of all campaigns with external vendor partners. Ensure accurate campaign set-up, trafficking, targeting, creative delivery, and QA across platforms.
  • Monitor campaign pacing, delivery, and task completion to ensure deadlines are consistently met.
  • Troubleshoot discrepancies, trafficking errors, or vendor delays, escalating to leadership when needed.

Vendor Operations Management

  • Serve as the primary liaison between Herb and our external vendor partners.
  • Drive accountability by ensuring vendor partners meet agreed timelines, deliverables, and performance standards.
  • Proactively track open items, follow up consistently, and close the loop to prevent delays or gaps in execution.
  • Communicate clearly and frequently with vendors and internal teams, surfacing risks, blockers, or discrepancies early.
  • Maintain clear documentation and provide regular reporting on vendor progress, giving Client Success Managers and leadership visibility into execution, risks, and outcomes.

Process & Quality Assurance

  • Create and maintain standardized workflows and documentation for campaign launches, QA, and reporting.
  • Validate that tracking pixels, UTM parameters, and reporting integrations are implemented correctly.
  • Audit campaigns for compliance with cannabis advertising regulations and Herb brand standards.

Cross-Functional Collaboration

  • Partner with Client Success Managers to ensure campaign execution aligns with client goals and expectations.
  • Collaborate with Finance on spend pacing, reconciliation, and billing accuracy. Work with Creative to ensure assets are delivered on time and meet platform/vendor specs.
  • Support leadership in identifying recurring operational bottlenecks and proposing process improvements.

Qualifications

Must-have:

  • 3–5 years of hands-on experience managing Meta Ads campaigns (setup, trafficking, QA, troubleshooting).
  • 3–5 years of experience in digital advertising operations, account coordination, or campaign trafficking (agency, publisher, or ad tech experience ideal).
  • Strong organizational and project management skills; proven ability to keep multiple campaigns moving simultaneously.

Nice-to-have:

  • Familiarity with other advertising platforms (X/Twitter, Google Ads, programmatic DSPs/SSPs, SEO tools, ESPs).
  • Experience with project management tools (ClickUp, Asana, Trello, etc.) and reporting dashboards (Looker Studio, GA4, TripleWhale, etc.).
  • Exposure to compliance-heavy industries (cannabis, CPG, finance).
